Czas na Herbatę one of Poland’s most recognisable retail brands with over 29 years of history, 725,000+ satisfied customers. They offer over 250 teas and signature blends and make their products available through several business channels, including e-commerce.

We safely migrated their online store from PrestaShop to WordPress with WooCommerce. Then, we integrated their custom ERP with the platform to create a centralized environment for managing content, products, customer service, and marketing. This boosted CX and improved operations.

The Challenge

Czas na Herbatę is a leading Polish tea brand offering a wide range of teas, herbs, coffee, accessories, and gift products. The company serves customers through 74 company-owned stores, 35 franchise locations, and online. They required a new e-commerce platform that could support both their day-to-day sales and long-term business growth and needed more than a visual refresh. The previous setup forced the team to manage content and e-commerce operations in two separate environments.

Product and order management were handled in PrestaShop, while content was managed in WordPress. This created unnecessary complexity for the team, made content maintenance harder, and limited the flexibility for further online platform development. Additionally, order handling involved a lot of manual work, including invoice-related processes. 

The platform also lacked a fully developed customer panel and was becoming increasingly difficult to maintain and scale.

Our goal was to create one coherent environment for managing the store, content, customers, orders, promotions, and integrations. We recommended WordPress with WooCommerce as a flexible, familiar, and scalable foundation that could be adapted to the client’s operational processes rather than forcing the team to change how they worked.

Operational challenges in the old setup inlcuded:order handling required a lot of manual work,invoices were processed outside a smooth, automated workflow,customer service communication was fragmented,client returns and complaints were not centralized,customers did not have a convenient way to access invoices and order history,promotions, gift cards, and loyalty-related mechanisms were difficult to implement,the platform needed better support for both B2C and wholesale ordering,the store required stronger SEO foundations and a safe migration process

At the same time, the client had concerns about whether WordPress would be powerful enough for a complex e-commerce project. We addressed this during the discovery phase by demonstrating how WordPress can function as a flexible development framework, not just as a content management system, when implemented with the right architecture, infrastructure, and custom development standards.

The priorities were to create a complete operational platform that would make daily work easier, improve the customer journey, preserve historical data after migration, support SEO, and remain ready for further growth.

The Results

The new Czas na Herbatę online store became a strong e-commerce headquarters – a centralized space for sales, operations, marketing, and customer service. That gives the team more control over daily work and a stronger foundation for future growth.

Despite the broader functionality, the store maintained a high performance level, with top PageSpeed results.

Easier day-to-day e-commerce management

The new WordPress and WooCommerce setup allowed us to unify separate workflows within a single workspace. The team can now manage products, content, orders, forms, returns, complaints, customer communication, promotions, and marketing elements from a single administration panel.

This makes everyday updates faster, reduces operational complexity and the risk of errors, and gives the client a more consistent environment for managing content and commerce together.

Less manual work thanks to ERP automation

We integrated the store with the client’s custom ERP system to automate the flow of order and invoice data. Orders are now sent to ERP automatically, while invoices generated in ERP can be downloaded directly from the customer account panel.

This reduced repetitive manual work for the team and made document access easier for customers. The integration also includes error-handling mechanisms, such as the option to resend orders to ERP when needed, giving the team more control over the process.

A smoother buying experience for retail and B2B customers

The new store was designed to make product discovery and repeat purchases easier. Customers can use advanced search based on product codes, ingredients, effects, and custom keywords. Additionally, we’ve implemented improved filtering, sorting, and the option to add selected variants to the cart directly from product lists (which was not a feature available in PrestaShop).

Marketing tools ready for seasonal campaigns

Czas na Herbatę runs seasonal offers, promotions, newsletters, and product recommendations, with gift occasions playing an important role in its sales calendar. The new platform gives the team more flexibility to manage these activities directly in the store.

We implemented promotion and discount mechanisms for selected categories, coupons, product recommendations, promotional links, gift cards, group discounts, and wholesale-specific conditions

The e-commerce platform was built in full compliance with applicable EU regulations and consumer protection requirements, including the Omnibus Directive, withdrawal rights, and mandatory customer information obligations.

The latter is not only a way to display information about the lowest price, but an intelligent system that helps prevent mistakes in price communication by using historical data from the price archive.

To support trust and sales, we integrated the store with TrustMate, helping the brand manage the regular collection of customer reviews. This makes it easier to gather fresh feedback after purchases, build social proof around the offer, and give new customers more confidence when choosing products online.

One workflow for e-store and marketplace orders

The new e-commerce platform is also integrated with Allegro, allowing the team to centralize order handling across sales channels and manage marketplace orders without treating Allegro as a separate operational process. All orders from different sales points flow directly into one platform, giving the team a clearer view of sales activity and reducing the need to switch between systems.

From a business perspective, this means faster order processing, fewer manual steps, and a lower risk of mistakes in daily customer service. It also makes the operation easier to scale, because new orders can be handled within a consistent workflow, regardless of where the customer placed them.

Both retail & B2B customer needs addressed

The platform gives access to order history, “order again” functionality, and favorites, to support recurring shopping habits. Retail and B2B customers can now be served within one environment, with ordering paths and pricing conditions adjusted to their needs.

Safe migration with customer history preserved

The data migration covered customer accounts, order history, and key store data from PrestaShop. After the platform change, customers kept access to their previous orders and only had to reset their passwords for security reasons.

The SEO and analytics migration was carried out in close cooperation with Insightland, who supported Czas na Herbatę in both areas. On the analytics side, the project included a full e-commerce configuration and consent mode setup, helping the client maintain reliable data collection after the platform change while respecting user consent requirements.

From the SEO perspective, Insightland prepared a detailed service structure and migration recommendations for a highly developed e-commerce catalogue, covering nearly 100 categories across different levels of the shopping funnel. Based on these recommendations, we implemented the technical side of the migration, including redirects, URL structure adjustments, and platform-level support needed to protect organic visibility during the transition.

This cooperation ensured a technically safe and business-oriented migration. The new store could go live without losing key customer data, while the SEO setup supported continuity in search performance.

Performance and infrastructure prepared for growth

The new store introduced more features, integrations, customer service modules, and marketing tools, but performance remained a key priority. The platform was moved to dedicated infrastructure within Ambiscale Cloud Data Center, with server configuration and caching mechanisms prepared to support speed, stability, and scalability.

The store was also designed as a foundation for further development of related brands, including eHerbata and Teaverso. This gives the client a reusable technical base that can be adapted to different visual identities, business logic, and B2B or B2C flows.

The Process

The project combined migration from PrestaShop to WooCommerce, ERP integration, customer account migration, new shopping features, marketing tools, SEO-safe transition, and dedicated infrastructure within Ambiscale Cloud Data Center. 

Discovery

We started with a discovery phase focused on understanding the client’s business processes and the challenges posed by existing technology. We analyzed how orders, returns, complaints, customer service, invoices, product management, and content updates were handled.

This helped us design a platform that would support the team’s daily work instead of introducing unnecessary complexity.

Design

The redesign focused on clarity, usability, and conversion-oriented shopping paths. We also considered accessibility requirements and selected interaction patterns aligned with accessibility principles, especially in areas such as search behavior and user-triggered actions.

As an e-commerce platform, the store also needed to be prepared with accessibility expectations in mind – in line with the European Accessibility Act.

Implementation

We built the new store on WordPress with WooCommerce, with Gutenberg serving as the content editing layer. This gave the client’s team more flexibility in creating and updating content without relying on developers for every change.

The implementation covered both the customer-facing shopping experience and the operational side of the store. We developed custom e-commerce features, improved customer accounts, and introduced multilingual versions of the store to support customers across different markets. The new setup also made it easier for users to find products, read reviews, discover recommendations, and use gift cards.

To support daily store management, we integrated the platform with the client’s ERP system and added mechanisms for handling orders from Allegro. We also implemented promotion tools and marketing-supporting features, giving the team more control over campaigns, product visibility, and ongoing sales activities.

We also implemented a dedicated GA4 event tracking setup for the new store, designed by Insightland. This gave the client a cleaner analytics foundation for monitoring user behavior, e-commerce performance, and the impact of marketing campaigns.

Migration & launch

We migrated the store from PrestaShop to WooCommerce, including:

  • products, 
  • customers, 
  • order history, 
  • and key operational data. 

This was not a simple platform switch, but a multi-layer migration involving data, SEO, infrastructure, integrations, and the daily operational logic of the store.

To make the launch successful, every element had to be planned and verified carefully. Product information, customer records, historical orders, redirects, ERP-related data flows, and the new hosting environment all needed to work together smoothly in the new WooCommerce setup.

The launch was coordinated with Insightland to protect SEO value and with our infrastructure team to move the service to Ambiscale Cloud Data Center. The process was demanding, but completed successfully, leaving the client with a stable, well-integrated platform ready for further growth.

AI and further development

After launch, the store was also supported with an AI sales assistant implemented by KODA, which answers frequently asked questions about products and orders.

The cooperation continues in an ongoing development model, allowing the client to keep improving the store, optimize processes, and expand the platform to new brands.

ERP integration and better-connected processes reduce manual work, making it easier to handle orders and quickly respond to customer needs.
